Requirements: 

  • Two or more users in your Spoke directory, that have installed the Spoke Phone app. 
  • A landline or mobile phone that does not have Spoke installed.

Things you will experience here:

  • Calling someone from Spoke
  • Trying our hold, mute, and music
  • Turning calls into conference calls
  • Adding team mates, and external callers to conferences
  • Dictating call notes after a call, that are transcribed and sent to you as text
  • Playing call recordings
  • Answering a customer call
  • Transferring a call
  • Reading voicemail and calling someone back
  • Calling a team mate
  • Sending a transcribed voice-note to a team mate
  • Improving call quality when you lose data connectivity

1. Call someone using the Spoke dial pad

  • Open the Spoke app
  • Go to the dial pad
  • Enter a phone number
  • When the button goes green, the number is valid and you can call
  • Press call, Spoke will ring the person
  • Get them to answer, talk to the person
  • Do not hang up

2. Put the person on hold and try mute

  • Tap the hold button on Spoke, hear music play to the other party
  • Other party cannot hear you talk
  • Tap again to turn off hold, you can now talk again
  • Tap mute
  • Other party does not hear music, and cannot hear you
  • Tap again to turn off mute, you can now talk again
  • Do not hang up

3. Turn the call into a conference call

  • Tap the conference button
  • Go to the team phone book
  • Select the (+) button beside the team mate you want to add to the conference
  • Scroll back up, see that they are being added to the conference
  • Their phone rings, three of you are now on the call
  • Go to the personal phone book in the Spoke app
  • Select the (+) button beside the friend you want to add to the conference
  • Four of you are now on the call
  • Go to the dial pad in the Spoke app
  • Enter a number and press (+) to call that person and add them to the conference
  • Five of you are now on the conference
  • Get one of the people to hang up
  • Note that they have let the conference list
  • Tap redial and Spoke will add that person back into the conference
  • Get your other Spoke app user to leave the conference (hang up)
  • On their Spoke app, they go to call history to see that the conference is still underway
  • Get them to click on the call history, and they are immediately added back into the conference
  • Hang up your phone
  • Note that everyone else remains on the conference call, even though you as the organizer has left
  • Note: When there is only one person left, the conference automatically ends

4. Dictate call follow up notes that are transcribed into text

  • When the call ends, tap on dictate follow-up
  • If this is the first time you have done this, go to settings > select your spoken language and enter your email address
  • Press and hold the record button and start speaking when instructed
  • Watch your voice get transcribed into text
  • It takes a few times for you to learn and get 100% correct transcriptions
  • Take your finger off to stop recording
  • Press and hold record again to capture more notes
  • Stop and press save in the top right corner

5. Play the call recording, review call notes

  • In the Spoke app, tap on the call history icon
  • Tap the call history record for the call you just made
  • Play the call recording
  • Review the transcribed call notes 
  • Check your email, a copy of the call and notes has been emailed to you

6. Answer a customer call

  • From a land line or mobile phone that does not have Spoke installed on it, call your Spoke Phone trial number - you can find it at the top of your online Spoke account.
  • Listen to the greeting the caller hears
  • You can change that greeting, personalize it, remove it, add menu options, and more
  • When your phone rings, you can see this is a call to your company line
  • Answer and talk
  • Do not hang up

7. Transfer the caller to a team mate

  • In the Spoke app, press the transfer button
  • Note that the caller is put on hold
  • Select the team mate you wish to transfer the call to
  • Note that you can transfer, announce then transfer, or transfer to voicemail
  • Select announce then transfer
  • When your team mate answers, have a conversation, the caller cannot hear you
  • Note that you can now transfer and leave (connecting the caller to your team mate), or transfer and stay, creating a three way call.
  • Select transfer and leave
  • Your team mate is now talking to the caller
  • Go to the team phone book in Spoke, note that it shows your team mate is on another call
  • Get your team mate to hang up and ask them to go to the call history in the Spoke app
  • Note that they can see a call with the customer, that was transferred to them from you

8. Voicemail

  • From a land line or mobile phone that does not have Spoke installed on it, call your Spoke Phone trial number - you find it at the top of your online Spoke account.
  • Let it ring until the caller goes to voicemail
  • Leave a 10 second or so voicemail message
  • Note: The voicemail greeting, music/ringing, time to go to voicemail and other settings can all be controlled and customized
  • Wait a few seconds
  • Note you now have a missed call icon and history
  • Go to your call history in the Spoke app
  • See the missed call and tap to read the transcribed voicemail
  • Note: Default transcription is English, and can be changed
  • Tap to call the person back
  • Note that the number displayed to the person who is being called, is the company Spoke number, not your mobile number

9. Call a team mate

  • In the Spoke app, go to the team phone book
  • Slide your finger (right to left), on your team mates name
  • Select the call button

10. Send a voice-note to a team mate

  • In the Spoke app, go to the team phone book
  • Slide your finger (right to left), on your team mates name
  • Select the microphone button
  • If this is the first time you have done this, go to settings > select your spoken language and enter your email address
  • Press and hold the record button and start speaking when instructed
  • Watch your voice get transcribed into text
  • It takes a few times for you to learn and get 100% correct transcriptions
  • Take your finger off to stop recording
  • Press and hold record again to capture more notes
  • Stop and press save in the top right corner
  • Your team mate is sent your notes in email
  • You are sent a copy

11. Switch to carrier mode during a call

  • There will be a time when you are in a remote area and call quality degrades
  • In this instance, Spoke can drop from HD calls over data, to carrier calls over voice, without you losing the call
  • Open the Spoke app
  • Go to the dial pad
  • Enter a phone number
  • When the button goes green, the number is valid and you can call
  • Press call, Spoke will ring the person
  • Get them to answer, talk to the person
  • Do not hang up
  • On the Spoke app, tap 'Improve call quality' 
  • Your call hangs up
  • Note that the other person hears 'Please wait, improving call quality'
  • Your cellular line rings (on android, your phone dial pad will open with a number already entered - press the green dial button)
  • Answer it/press dial and you are instantly reconnected to the caller, now talking over your phone voice channel
